Letterhead Paper: What It Should Include and How to Order It Printed

A letter, a quote, or an estimate says a lot about your business before anyone reads the first line. Letterhead is that first impression. Here is what it should include, which paper to pick, and what to have ready when you order it printed.

What is letterhead?

Letterhead is paper with your logo and business details printed on it, called papel timbrado in Spanish. You use it for letters, quotes, and official documents.

What your letterhead paper should include

Less is more. A sheet crowded with details looks busy and leaves less room for the message. The basics:

  • Your logo and business name.
  • Your street or mailing address.
  • A phone number and an email you actually answer.
  • Your website, if you have one.

If your profession requires it, add your license number. Social media is optional. Only list the accounts you really use.

Top, bottom, or side

The logo usually goes at the top, left or centered. Contact details can sit with the logo or in a strip at the bottom. Leave generous margins so the text you print at the office does not run into the design.

Which paper to choose

At V&V we print letterhead on 24 lb to 32 lb paper. 24 lb is everyday office paper and runs through any printer. 28 lb or 32 lb feels finer in the hand. If you will print letters on top with a laser printer, tell us before choosing the weight so the paper handles the heat without curling. For more, see our paper weight guide and how to choose paper for proposals.

Printed or digital template

Many businesses use a Word template and print it at the office. That works day to day, but office ink does not always match your logo color. Professionally printed letterhead keeps the same color on every sheet and saves you ink and time. The best setup is both: printed sheets for important letters and a digital version for email and PDFs.

Pair it with envelopes and business cards

Letterhead looks best with matching envelopes and business cards. Together they give your business a consistent, professional look.

What to have ready for a quote

  • Your logo in high resolution, ideally PDF or vector.
  • The exact details you want on the sheet.
  • How many sheets you need. Letterhead is ordered by the thousand.
  • One side only, or something on the back.
